About Epping Forest District Council

Epping Forest is a local government district north-east of Greater London in Essex named after Epping Forest, of which the district contains a large part. In 2012, the Council started the preparation of a new Local Plan, replace the existing 1998 Local Plan and 2006 Alterations documents. The new Local Plan will guide development in the district up to 2033, being used to deal with planning applications and to provide land allocations.

Challenge

With such an important plan shaping the future development of the Epping Forest District, the Council undertook an extensive public consultation, a 50-page survey was produced which could be completed independently or as part of an organised group and submitted via email, by letter or by completed physical survey. Over 3,000 responses were received and due to the nature of public consultations, many of the responses received were qualitative in nature, meaning high volumes of hand written and typed data needed to be processed and interpreted, in order to give due consideration to the responses received. Epping Forest District Council sought to find a partner who could process the consultation responses to a high standard, capturing every piece of information from the consultation, in a time and cost efficient manner.  

Solution

The team at Epping Forest District Council approached Adetiq to process the large volume of responses. Adetiq’s long standing history and experience of processing extensive planning and consultation surveys enabled Adetiq to offer pro-active advice to Epping Forest District Council to ensure that the responses could be processed in the most efficient manner. Adetiq’s data security credentials also gave Epping Forest District Council piece of mind that all data and documents would be handled in a completely secure environment.

Adetiq supplied Epping Forest District Council with a dedicated email address for all electronic responses to be received and also received any physical responses into a mail sorting room. The Adetiq mail room team sorted through all responses which were each given a unique reference code and then passed to the appropriate team for processing. All responses whether received by survey, letter or email were captured using Adetiq’s bespoke, secure data entry system, which enabled measures to be put in place for the purposes of quality control. Once processed, all responses were passed through the quality control team at Adetiq to ensure a high level of accuracy within the captured responses. Finally, the data was exported into a complex database, as required by Epping Forest District Council to ensure that due consideration could be given to each response received.

Challenge

The SmartMatch technology offered by Smartology is truly an innovation in marketing. However, in order to benefit from SmartMatch an advertiser needs to know what content it has and where it is located. Many large organisations have vast amounts of content, produced by a variety of personnel often around the world. It is a time intensive task to audit what content is available, find out where it all is and which pieces would be relevant and timely for contextual content matching through the SmartMatch technology.  

Solution

Smartology wanted to find an outsourced partner to conduct the content audits on behalf of its customers to alleviate the time pressure it would take the advertiser or the team at Smartology to conduct the time intensive content audits. Adetiq offered Smartology a cost and time efficient solution by utilising the skills and content mining technology available within the online team at Adetiq. Smartology provides Adetiq with details of each advertiser and the type of content required for SmartMatch. Using a combination of systems and defined processes, Adetiq mines online sources to identify what content is available, documenting various attributes associated with each piece of content including the source, location, type and author. The collected data highlights what content is available and is then used to populate the SmartMatch technology with the relevant content, in preparation for the contextual matching with articles across a range of worldwide publications.

The content mining services offered by Adetiq have helped Smartology to focus internal resources less on administrational process and more on providing high quality customer service and has reduced the on-boarding time for new clients using the SmartMatch system. Adetiq supports Smartology as it continues to expand SmartMatch with new media owners and new advertisers. About Macmillan Publishers

Founded in 1843 by Daniel and Alexander Macmillan, Macmillan Publishers Ltd established its credentials by publishing such great authors as Charles Kingsley, Thomas Hughes, Lewis Carroll, Alfred Lord Tennyson, henry James, Thomas Hardy, Rudyard Kipling and H.G. Wells.

Challenge

The details of the works published by these great authors, published during the first 60 years of the company’s history, were contained in a ledger called ‘The Editions Book’. This was a very large hardbound ledger into which were written the details of how many prints were made of each publication and the price paid for them. The ledger covers the period from 1852 to the early twentieth century and has been a working record for historical printing and publishing detail right up to the current day. Hand written in beautiful copperplate script, these books provides a fantastic insight into the historical development of the publishing of fiction and non fiction in the United Kingdom from the very start of printing for the mass market.

However because of their age and common usage, the books have become understandably fragile and as a result Macmillan needed advice and assistance when they wanted to bequeath this amazing practical record to the nation by sending them to the British Library where they are now part of the Macmillan Archive held there. Since they are still referred to regularly, Macmillan needed digitised versions that they could readily access together with a high quality image that would enable the books to be recreated in the future.

Solution

Macmillan turned for this advice to Adetiq, as the industry experts in document processing including the digitisation of rare and fragile books. In order to digitise the books Planetary technology was used, which enables a high quality image of each page to be captured in full colour with no damage to the pages, spin, covers or bindings. Advanced software then renders the images to virtually eliminate any curvature of the pages and produce high resolution colour images suitable for reprinting purposes.

In order to provide a useable electronic version of the books, a lower resolution PDF document was created which enables the viewer to flip to the required page within each book and instantly view the content on screen. Within our post-capture production, the team at Adetiq also enabled the pages to be printed or copied as desired allowing the original books to now be preserved whilst the historical content to still be accessible by both Macmillan staff in their day to day business, together with the general public and other academic researchers.

Xeretec found that due to the complexity, it was easy for items and invoices to be missed, With this in mind, Xeretec took the decision to outsource the labour intensive administration associated with the finance and accounting function and sort to find a partner to process the invoices efficiently and accurately.

Challenge

Toys R Us offer the largest range of toys and family leisure products online, populating the products onto the website to make them available to customers takes a significant amount of time. Not only does the product information need to be populated, but unique Toys R Us descriptions for each product needs to be created and also the attributes and product images need to be sort from manufacturers around the world. Toys R Us wanted to find a high quality yet cost effective solution to the labour intensive product searching, copywriting and collection of the product data, alleviating the administration pressures from the internal team to enable them to focus on quality control and important brand marketing initiatives.

Solution

Adetiq provides an integrated solution for Toys R Us encompassing data mining, image correction and enhancement, SEO friendly copywriting and data collection. The Adetiq team took time to understand the challenges that Toys R Us faced and to understand the specific brand requirements in terms of tone of voice for the copy, and image type for the product images. Using Adetiq’s content population systems and experienced online content team, Adetiq devised a custom solution tailored to the precise needs of the Toys R Us eCommerce team. Working to tight deadlines and seasonal requirements, Adetiq liaise with the Toys R Us worldwide manufacturers to obtain detailed information about each product. Using the product information, Adetiq then write unique search engine optimised descriptions for each product in the correct Toys R Us tone of voice. Images are passed through a vetting, correcting and re-sizing process before being allocated to the product and attributes including dimensions, colour, weight and age restrictions are added.

Challenge

Superdry runs frequent competitions, across the UK. The completed competition forms along with other initiatives, have the aim of capturing customer contact details and signing customers up for the Superdry newsletter. The contact information is then used by the Superdry marketing team to further promote the brand and to keep their customers updated with the latest Superdry news. In order to effectively utilise the captured contact details, the data needs to be captured in a timely and accurate manner, and converted into electronic format for the marketing team at Superdry to leverage for future marketing campaigns. 

Solution

The team at Superdry approached Adetiq to provide cost effective, accurate data entry and processing to extract the critical customer contact details from the completed forms, and process the data into a compatible file format, suitable for upload directly into the Superdry CRM system. Superdry requires a quick turnaround for the data to be converted and therefore Adetiq works to an agreed SLA to ensure that the information is processed quickly and accurately. Response levels of the completed forms often fluctuate due to seasonal high street factors such as the school summer holidays and the festive period, and therefore Adetiq adopts a flexible approach to the volume of forms received, processing as many or as little as Superdry needs within the agreed timeframes. This flexible approach gives Superdry the scalable resource required to process the critical but unknown data volumes quickly and accurately without distracting the internal workforce from their core responsibilities.

During more than 160 years of Lindt & Sprüngli’s existence, it has become known as one of the most innovative and creative companies making premium chocolate, with six production sites in Europe, two in the USA and distribution and sales companies on four continents. 

Challenge

Lindt & Sprüngli run a range of seasonal experiential sampling events, at which their customers complete competition sign up cards with the aim of winning a selection of Lindt & Sprüngli prizes. The information contained within the cards is then used by Lindt & Sprüngli to keep customers updated with the latest news and offers. In order to effectively utilise the customer information, the information contained within the hand completed cards needs to be captured and entered into the Lindt & Sprüngli CRM system. 

Solution

Adetiq provides Lindt & Sprüngli with a cost effective, accurate document processing and data capture solution for the processing of the completed competition cards. The completed cards are gathered at each event and dispatched from the Lindt & Sprüngli head office to Adetiq, where the cards are then sorted, checked and the data captured using our secure, data entry systems.

To ensure that accurate mailing addresses are captured, Adetiq uses the Royal Mail’s PAF system for populating the address details which further ensures that the data output is of the highest quality, maximising marketing ROI. The captured data is formatted, and exported into an encrypted .csv file for Lindt & Sprüngli to upload into their internal CRM system.

After the data has been captured, Adetiq completes the processing cycle by securely destroys the physical cards to ensure the privacy of customers is upheld. DIT has a customer commitment to helping its UK and international customers by providing a range of services, to a high standard and improve customer service by listening to customer feedback. DIT arrange and attend hundreds of events in any given year which vary from small scale meetings, to outward and inward missions and large scale exhibitions. The feedback from these events is a critical factor for DIT as it shapes the way in which it operates on behalf of its customers. In order to monitor the feedback from the events, DIT has developed a concise yet highly informative feedback form to collect the views of attendees. With often hundreds of attendees at hundreds of events throughout the year, interpreting the feedback gained is a time consuming and labour intensive task. 

Solution

The team at DIT approached Adetiq to process the large volume of feedback forms received from the wide ranging events throughout the year. Adetiq’s long standing history and experience of processing feedback forms enabled Adetiq to offer pro-active advice to DIT to ensure that the responses can be processed in the most efficient manner, developing a cost effective solution for the processing. Adetiq’s data security credentials also gave DIT peace of mind that all data and documents are handled in a completely secure environment.

Adetiq supply the DIT team with a dedicated email address for all electronic feedback forms to be sent to and also a mailing address for any physical responses to be received and processed by the project team. The provision of physical and electronic mail room services helps to reduce the time elapsed between feedback being submitted and DIT being able to review the results. In order to process the feedback the team at Adetiq use a bespoke, secure data entry system, which enables measures to be put in place for the purposes of quality control. Once processed, all feedback is passed through the quality control team at Adetiq to ensure a high level of accuracy within the captured data. Liz Earle also use in-store forms for customers to provide their contact details, to be sent the latest news and offers. The contact information is then used by Liz Earle to keep their customers updated and for use in on-going marketing campaigns. In order to effectively utilise the customer information, the data needs to be captured on an on-going basis and converted into electronic format for the marketing team at Liz Earle to effectively leverage.

Solution

The team at Liz Earle approached Adetiq to provide a cost effective, accurate data processing solution, which provides Liz Earle with an outsourced solution to extract the critical customer contact information from the completed forms and process the data into a .CSV file format, which is then uploaded with ease into the Liz Earle CRM system. About Kärcher

Kärcher is one of the largest manufacturers of cleaning equipment in the world. Established in 1935, the company offers a wide selection of cleaning equipment for households, commercial use and industry including pressure washers, steam cleaners and floor polishers amongst many others.

Challenge

With every Kärcher product purchased each customer has the opportunity to register their product with Kärcher either via an online or paper based form. The team at Kärcher were struggling to process and capture the data from the large volumes of paper based product registration cards that were arriving each day. The seasonality of the product sales and therefore registrations meant that during certain months of the year volumes of registration cards increased four-fold. Kärcher wanted to find a solution to enable timely, accurate processing of the product registration cards, whilst also being cost effective enabling the internal team at Kärcher to focus less on the time consuming administration and ensure high quality customer service. 

Solution

The marketing team at Kärcher consulted with Adetiq with the aim of reviewing and improving the whole process associated with the product registration cards. Adetiq devised a processing solution which ensures that all product registration cards are processed within seven days of being received. To ensure accuracy, Adetiq uses specialist data capture systems, programmed to the specific requirements of Kärcher, which minimises any potential for errors in the data, and ensures that Kärcher receives a high quality data set. To further improve the product registration process Adetiq and Kärcher have worked in collaboration to revise the product registration form to improve customer understanding and data capture efficiency. The product registration forms are also now managed by Adetiq via a PO BOX address, which further helps to reduce the volumes of forms passing through Kärcher HQ mail room, saving time for the Kärcher mail room and saving the cost of couriers.

As Adetiq is a specialist data and document processing organisation, Kärcher has also been able to benefit from the scalable resources available at no additional cost, meaning that the seasonal peaks and troughs are no longer a challenge and there is now a well-structured process in place for the product registration cards, which has reduced lag times, improved data quality and saved valuable resources for the team at Kärcher.

Delete Blood Cancer UK is a division of DKMS, a global family of organisations started in 1991 to find donors of lifesaving blood stem cells. Delete Blood Cancer launched in the UK in February 2013 and has since registered over 71,000 potential donors, taking the worldwide total of potential stem cell donors to over 4.5million.

Challenge

Launching in the UK in 2013, Delete Blood Cancer UK needed to find an effective, quick and accurate processing solution for their donor forms. Due to the nature of the forms, accuracy of the processing was of critical importance, as was finding a highly secure processing solution to ensure that donor information was treated with the highest degree of confidentiality. Solution

The donor management team at Delete Blood Cancer UK consulted with Adetiq early during the initial launch stages to devise an effective donor form processing solution which catered for all of the requirements – fast, accurate, secure, scalable and able to cater for the different stages required. Adetiq devised a structured process which includes data capture, key verification, document scanning, correlation and auditing. Adetiq uses a number of in-house systems to deliver the different aspects of the task, which ensures that a complete audit trail is maintained, and that the data can be verified, and quality controlled at various stages throughout the process to ensure the highest degree of accuracy. As the forms need to be processed quickly and with high levels of security it was important to have a highly versed process, Adetiq has over 50 years of experience, and was able to provide Delete Blood Cancer UK with best practice advice and guidance for the entire process. Adetiq is able to process all forms received within five working days which encompasses all data capture, verification, document scanning and correlation, ensuring Delete Blood Cancer UK has the critical donor information where it is needed, whenever it is needed.

About Sport England

Sport England is the Government’s lead agency charged with the development and delivery of community sport in England. As part of the ‘A Sporting Habit for Life’ Strategy, Sport England has developed and is responsible for maintaining a national database of sports facilities, named Active Places.

Active Places was launched in 2004 and currently holds data on over 35,000 sites and 139,000 facilities across England. The data is used to support the planning of sports provision in England, powers the Be Inspired initiative and is publicly available via Active Places Power and is considered to be the most comprehensive source of sports facility data in England.

Challenge

Sport England was seeking to procure a Supplier to maintain the Active Places Database using Sport England’s new data validation platform. The combination of new Supplier and new platform was to replace the previous telephone-based approach through new audit methods including self-validation of facility information by the facility owners. Ensuring that the data is owned by the providers and managed collaboratively in partnership with Sport England. Promoting flexibility, continual improvement, intelligent updates and innovation in both maintenance and use. With development in mind Sport England was seeking to procure a Supplier to take the database forward using a more effective and efficient approach.

Solution

Sport England appointed Adetiq to manage the Active Places Data Platform, to ensure the data contained within Active Places is both current and accurate. Adetiq provides Sport England with a dedicated Data Validation Team who are responsible for collecting, maintaining and updating sport facility data ensuring that every record within the system is audited and validated every year via telephone, email and direct communications.

Adetiq also provides a help desk and research function to ensure that any new, refurbished or altered sports facilities are added or changed within Active Places as quickly as possible.

In the future, the Active Places Data Platform will be become self-service enabling those who manage sporting facilities to take ownership of their site and ensure that their data on Active Places is up to date. Involving facility manager’s means that updates can be made in real-time by the people who know their facilities the best, enabling updates to appear seamlessly on Active Places Power as well as available to download as open data. Adetiq is working closely with Sport England to ensure that all facility managers engage with the Active Places Data Platform and that facility managers are fully supported throughout the transition and beyond. Adetiq will continue to ensure that the accuracy and currency of the data within Active Places remains high and that the database continues to be regarded as the leading source of sport facility data in England.
